Registration Workflow Updates

State management overhaul:
Registration, invoice, and enrollment states now progress more clearly and consistently.

Draft → when a registration is started but not submitted.

Pending review → when a fee-free registration form is submitted.

Pending payment → when a registration with a fee is submitted.

Enrolled → when any registration fees are fully paid and an enrollment is created.

For the fee then form model, the state starts at pending payment and moves to pending review after successful payment.
In an upcoming update, enrollments will not be created for register-without-review or without-fee models unless a payment plan and method are selected.

Automatic state transitions:
Paying registration fees (from either parent or organization view) now automatically updates the registration state to pending review or enrolled as applicable.

Save for later option:
Parents can save progress at the form-submission or payment steps. A confirmation email with a continuation link is sent immediately.

Clearer payment feedback:
Success and failure messages are now displayed more prominently during the registration process.

Transparent fee and tax messaging:
Registration start pages now accurately display any fees and taxes that apply to the program.
Waitlist Confirmation Workflow

TUIO now tracks waitlisted registrations and periodically prompts parents to confirm interest based on the organization’s configured frequency.

Parents receive two notifications — a confirmation request and a reminder before the waitlist position expires.

Parents can confirm via a link in the email or allow their position to lapse (by inaction or explicit decline).

Unconfirmed waitlist positions automatically lapse after the grace period.
🏫 Organization Experience
Registration-Related Changes

Waitlist enforcement:
When program capacity is reached, registrations can still be submitted and are automatically waitlisted instead of blocked. Registration settings wording has been updated to reflect this.

Filtering enhancements:
Added a filter for pending payment registrations on the Registrations page.

Improved registration exports:
The export file now includes clearer model and state columns for better tracking.

Better payment display:
Registration views now show the payment method and fee details more consistently across all models.

Safer sharing:
Share and embed links are now disabled for programs not enabled for online registrations.

Admin-only field option:
When creating custom Parent or Student fields, admins can now limit rich-text fields to admin and organization administrator editing only.
These fields remain view-only for parents but can be customized by admins per individual record.
Waitlist Confirmation Configuration
Admins can now enable and configure waitlist confirmation frequency in Settings › Notifications › Waitlist confirmation frequency.

A value of 0 = disabled.

Any other value enables the feature and defines how often parents are prompted.

Frequency changes only apply to new registrations.

At least a 2-day grace period is required when enabling the feature.
-
If no confirmation is received before the grace period ends, the registration is automatically rejected.

Organizations with state-change notifications enabled will receive an email listing registrations rejected due to lapsed confirmation.
General Improvements and Fixes

Re-added the ability to select multiple filter or field options on chip fields using the âž• icon.

Fixed an issue where admin roles could not be re-added after removal.

Custom fields already added to forms are now hidden from the “Add Field” list to prevent overwriting values entered by parents. (Signature and Terms fields remain repeatable.)

Dashboard metrics now use the transaction completed date for monthly calculations.

Minor visual tweaks to the Help dialog color scheme for consistency.
