Enhanced credit management tools

🏫 Organization Experience

  • Credit Types
    • You can now create custom credit types — such as subsidies or financial aid — to better organize and track the credits you issue to families.
    • To set up a type, open the Create Credit dialog and click Manage credit types in the Type field. You can mark a type as the default so it is automatically pre-selected whenever new credits are created or imported.
  • Scheduled and Immediate Credit Allocation
    • Credits can now be allocated to invoices in two ways: scheduled to apply automatically on the invoice’s due date, or applied immediately for funds that have already been received.
    • When creating or editing a credit on a parent’s profile, simply choose whether to schedule the credit or apply it right away. Note that a scheduled credit, even if it covers the full invoice amount, will keep the invoice in a pending state until the due date arrives and the system processes it automatically.
  • Automatic Credit Allocation Rules
    • When creating or editing a credit, you can enable the Automatically allocate credit balance to unpaid invoices option. Once enabled, the credit will apply itself to eligible invoices without any manual steps needed.
    • You can control exactly which invoices the credit applies to by setting restrictions for student, program, invoice type, and start date. All conditions must be met before the credit is considered eligible for an invoice.
  • Allocation Preview
    • Before any automatic allocation is confirmed, a preview screen shows every invoice that will be affected, along with the starting credit balance and the exact change the credit will make to each invoice’s balance. This gives you a chance to review the full impact before committing.
  • Bulk Credit Import
    • Credits can now be imported in bulk using a CSV file. To get started, go to the Parents page and open the menu next to the Create Parent button, then select Import credits.
    • The import wizard guides you through three steps: selecting your organization and credit type, uploading your CSV file, and matching your file’s columns to the right fields (parent, student, credit amount, and date range). Once submitted, the import is processed in the background and you will receive an email confirmation when it is complete.
  • Updated Credits Tab
    • The Credits tab on a parent’s profile has been redesigned with updated columns that clearly show the total credit amount, how much is scheduled to be allocated, how much has already been applied, and the net amount remaining. Summary totals at the top of the tab give an at-a-glance overview across all credits.
    • If a credit has automatic allocation rules attached to it, a lock icon will appear next to its ID. Hover over the icon to quickly see what rules are in place without opening the credit.
  • Dashboard Credit Breakdown
    • The main dashboard now includes a credit breakdown in its overview, showing both scheduled and applied credit amounts side by side for a clearer financial picture.
  • Bug Fixes
    • Fixed an issue where enrollment fees might not reflect the most recent rates, which could result in incorrect charges to families.
    • Fixed an issue where credit card payment options were not always available for selection during the enrollment process.
