h. How to avoid parent chargebacks on their credit cards
In some rare cases parents may chargeback the payment made to your bank account via their credit card issuer.
This could be done by accident because of some confusion with their credit card statement, or on purpose as an attempt to circumvent the payment process one way or another.
The good news is that a parent chargeback can be formally disputed using the banking system, and TUIO can prepare and execute the dispute on your behalf. Upon review, if the case is made successfully you will receive your funds back through a chargeback reversal.
Oftentimes the parent will resolve payment without a dispute, especially when the following rings true:
- 1
Having proper documentation
It is imperative that you detail the terms of parent payments in your registration documentation (or similar).
The more detail the better, but most important is to state that all payments (deposits, monthly tuition, fees, etc) or applicable payments are Non-Refundable.
If possible, make it abundantly clear in the documentation that these are the terms - bold it, underline it, highlight it - and make sure the documentation is signed and the signature is binding.
Having signed documentation that the payments are non-refundable will help to ensure that the dispute process leads to victory.

Adding terms to the TUIO invoices
An extra measure you can take is to add the invoice terms as a line item detail on the invoice. You can also mention this in the program description, invoice name or payment plan name if desired.
You can add terms in the initial payment plan set up, or after the fact, using edit invoice features.
This article describes the process in full.
The more communication you have with the parent that indicates they are aware of the terms, the better. If you need any help in preparing your invoices or documentation, reach out to [email protected].
