How to Review Registrations on TUIO
Thus far you have created a form and custom fields, chosen your registration model, enabled online registration, shared the form to your families, and have begun to receive the form responses (registrations). Hopefully this was done quick and easy enough for a nice eureka moment!
Managing the Account Registrations
The registration above has been completed by a family. They have successfully registered their child/student to the Tuition Program but they are still unable to enroll in the program right away and set up payment for tuition. The registration model is set up with fee and review, so even though the parent paid the application fee on the form to submit a response, an organization admin will need to review the application and enroll them once the application is accepted. The management of registrations is done from - you guessed it - the Registrations tab.
Once logged in, click the Registrations tab to view the individual registrations.
In the Registrations tab you can manage and review the form registrations as another option for adding students to a program - add student individually, or import students are the other options. The Status column shows the registrations that are Pending Review, requiring your input to either accept, reject, or wait list the family. You can click the Registration number to review the form and invoices for an individual registration detail, and to accept, reject, or wait list directly from there.
The 3 Review Options
- If you Enroll the student, the Parent can receive an email message letting them know the Registration is accepted, or you can choose not to notify them during the selection. The Parent will be able to log in to the parent portal and set up payment in the accepted program they registered for.
- If you Reject the student, the Parent can receive an email from the school letting them know the Registration has been rejected, or you can choose not to notify them during the selection.
- If you Wait List the student, the Parent can receive an email from the school letting them know the student has been waitlisted, or you can choose not to notify them during the selection. When a registration is wait listed, note that the student is not yet enrolled in the program. You can Enroll or Reject them from the Waitlist when applicable.
The above family has been Wait Listed, however here I can Enroll them after space is made available.
You will notice how you can choose to notify the parent or not. Perhaps you need to make some edits to the student before you notify the family of the acceptance, or maybe you already told them over the phone and you don't need to send another email. You will also notice the Custom Message field. This is optional, however you may want to send a custom message rather than the standard automated system message. The Custom Message field is available for all 3 review options: Enroll, Reject, and Wait List.
Once you have reviewed and clicked Enroll to accept the student enrollment in the program, you have the ability to set payment plan or leave it pending parent selection and also to apply a discount. This feature is carried over from the previous iteration of TUIO so you can customize the student enrollment as needed.
I left the payment plan 'Pending parent's selection' - so the parent can choose which option they would like (Semi Annual/Annual/Monthly) - and selected Update & Notify Parents. You can now see the enrollment for Juliet in the 'Enrollments' tab of your organization's account.
